Aish & Sahil’s Scenic Wedding in Tuscany

Aish & Sahil met at a play through a common friend. In 2023, Sahil, while visiting India, happened to visit a theatre to watch a play with this common friend where Aish was part of the play called “Should I stay or should I go?” While preparing for this production, Aish remembers feeling that she just wanted to make people watching the show a little more loved and a little less alone. As fate would have it, there – in the audience – sat Sahil who infact, changed Aish’s life. Perfect strangers to life partners. With Sahil’s fond interest in theatre as well, he fell in love with Aish’s play and found a spark in Aish during this time. Post the play, they happened to hang together with the common friend which lead to Aish & Sahil exchanging numbers & starting a conversation. This turned into a lot of texts & talking on call because of which Aish & Sahil instantly grew fond of each other and fell in love. They were sure they were the one for each other and wanted to grow old together.

Years ago, Aish had written a short film titled “Table for One”. It was about a woman dining solo in this Parisian restaurant, loosely inspired by Le Grand Colbert. Sahil found this script, rewrote the end and titled it “Table for Two”. They flew to Paris, and in the exact same restaurant she wrote about, he asked her to marry him with both their families present there, cheering them on. Post the proposal, they got married in COMO Castello Del Nero in Tuscany, Italy. We did their Tuscan themed Mehendi-Haldi brunch, Glam Sangeet, Traditional wedding by the vineyards & the Chic Formal Reception there.

Ultimate Guide to Destination Wedding Planning

Perfect destination wedding planning can be an exciting yet daunting task. It involves careful coordination, detailed research, and meticulous planning. This ultimate guide will take you through every step of the process to ensure your destination wedding is a dream come true.

1. Choosing the Perfect Destination

Consider Your Preferences

Before you decide on a destination, consider what you and your partner envision for your wedding. Do you want a beach wedding, a historic venue, a mountain backdrop, or perhaps a vibrant cityscape? Your preferences will significantly influence your final choice.

Research Destinations

Once you have a general idea, research potential locations. Consider factors such as weather, travel accessibility, and local attractions. Don’t forget to consider a location suitable for your guests to have an experience right from the time they enter the destination to when they leave.

Budget Considerations

For a wedding, the destination and venue hold the majority of your budget. Therefore, having your budget set will play a crucial role in selecting a destination. You should account for travel expenses, venue accommodation, venue costs/rentals, F&B, venue permissions costs, and any additional expenses related to the location. For some inspiration, check out wedding venues in Jaipur, wedding venues in Goa, and wedding venues in other destinations.

2. Hire an Expert Wedding Planner

A wedding planner can be invaluable in navigating the legalities and customs of your chosen destination. They can help you with the paperwork, coordinate with local vendors, manage your guests’ travel needs, manage and execute your dream décor, provide insights into the best local practices and traditions, and of course, eventually put together the whole piece on the day of the wedding in coordination with all the vendors on board. They take away all of your stress and ensure you enjoy your days and live them to the fullest. You can explore our services for more details.

3. Creating a Guest List

Consider Travel Logistics from Your Guests’ Perspective

Hosting a destination wedding requires your guests to spend on their travel costs and reschedule their time commitments. Create a guest list of those you genuinely want to share this special moment with to ensure they are present at your big day!

Send Save-the-Dates Timely

It is very important to give your guests ample time to plan the trip and manage their commitments. Sending your save-the-date as soon as you finalise the destination and date would help your guests RSVP timely and make their arrangements cost-effectively. It is suggested to include as much information as possible for the ease and convenience of your guests.

4. Budgeting and Financing

Break Down Costs

Break down all potential costs associated with your destination wedding. This includes travel, accommodation, venue rentals, catering, photography, entertainment, venue décor, periphery items like fun games and stalls, and any other miscellaneous expenses. Create and maintain a detailed budget to keep track of your expenses. However, at the same time, do not forget to consider some unexpected expenses. Be sure to include wiggle room in your budget for additional expenses, such as non-vendor tips, airport transfers, shipping costs, and baggage fees.

Set Priorities

Decide what aspects of your wedding are most important to you and allocate your budget accordingly. For example, if photography is a top priority, you might want to allocate more funds there and save on other areas like local entertainment. This helps you stick to your budget and prioritize your wants.

5. Choosing the Right Venue

Venue Research

Research various venues at your destination before selecting the final one. There are multiple factors that need to be considered while searching for the venue, like the size, style, and amenities of each venue. Look for reviews and testimonials from other couples who have had weddings there to get a better idea of what to expect. You surely do not want to compromise on one of the biggest aspects of your wedding! It is suggested to put maximum effort into this to achieve the best planning ahead.

Visit the Venue

If possible, visit your chosen venue before making a final decision. This will give you a better sense of the space and allow you to meet with the venue coordinators in person. It also makes it easier for you to imagine your functions there. An in-person visit is a must. If it is not feasible, consider virtual tours or video calls with the venue staff but do not choose your venue without seeing it in some other way. It is very important for you to like your wedding venue. A second visit is also suggested considering by then a lot of things would have been planned and you can imagine exactly what you are choosing in the whole process. But if it is not possible, it is suggested to reach at least two days prior to your wedding dates in case any last-minute changes or requests are needed to be able to achieve them timely.

It is recommended to visit during peak and non-peak hours, from Thursday to Sunday, to get a sense of the overall vibe the location provides. This is the perfect time for you to see and feel what your guests will experience.

6. Hiring Local Vendors

Local Expertise

Hiring local vendors can simplify logistics and reduce costs. Look for local florists, photographers, caterers, and entertainment options. Local vendors will also be more familiar with the destination and can offer valuable insights and recommendations. Bringing an expert from a nearby location is not a worry at all; it is a personal choice one makes keeping their priorities in mind.

Vendor Contracts

Ensure you have clear contracts with all your vendors outlining the services they will provide, the cost, and any specific requirements you have. This will help avoid any misunderstandings or surprises on your wedding day.

7. Planning Travel and Accommodation

Travel Arrangements

Book your flights well in advance to secure the best rates. Consider travel insurance to protect against any unforeseen circumstances. If you are traveling with a large group, investigate group travel options as well to get the best available costs for you and your family.

8. Making the Most of the Destination

Explore Local Culture

Incorporate elements of the local culture into your wedding. This could be through the food, music, or customs. Embrace the destination and create a unique experience for you and your guests. Always remember, not each person attending your wedding has visited the destination you are hosting your wedding at. Making them experience the local culture leaves them in awe and does not make them feel like they did not get a chance to visit the destination. It is a two-in-one for them – attending the wedding and experiencing the local culture as well.

Plan Activities for Guests

Organize activities for your guests to enjoy during their stay, making each guest feel wanted and loved through the entire celebration. This ensures nothing but the fact that each guest that made it to your big day returns happily with tonnes of memories! Great hospitality for your guests is surely a brownie point for you. Showing some hospitality to them with some welcome bags as soon as they arrive would do wonders. Fill them with items that speak to the locale or that will provide some comfort during their stay.

9. Handling Last-Minute Details

Confirm with Vendors

A few weeks before your wedding, it is important to confirm all the details with your vendors. Ensure they have the correct date, time, location, and confirmed details. Go over any last-minute changes or requests.

Prepare a Wedding Day Timeline

Create a detailed timeline for your wedding day, including when and where each event will take place. Share this timeline with your vendors, wedding party, and any other key people involved to ensure everything runs smoothly and is executed as imagined. The more detailed it is, the better the execution!

10. Enjoying Your Wedding Day

Stay Present

On your wedding day, take a moment to soak in the experience. Enjoy the surroundings, the company of your loved ones, and the celebration of your love. Try not to stress about the details and trust that your wedding planner will manage everything for you, making your dream wedding come to life.

Conclusion

Planning a destination wedding can surely feel pressurizing, but with the right approach, it can be an unforgettable experience not just for you but even for your guests. Follow this ultimate guide to ensure your destination wedding is everything you have dreamed of and more.
